Workflow tasks and timetable sessions are separate. Completing one does not tick the other.
| Section | Use it for |
|---|---|
| Workflow | The work you need to do. The homepage shows three items and lets you expand the rest. The full page includes current work, future deadlines and completed work. |
| Items to review | Articles, designs, results or other work waiting for a decision. The homepage shows up to three waiting items; View all opens the full list and reviewed history. |
| Notes | Ideas, references and information you want to keep. Pin a note to make it easier to find. |
| Daily log | Dated records of your day, achievements and things to carry forward. Entries can belong to a project and stay private until you choose to share them. |
| Projects | Group related work, such as Cruisez or Historically. Each project has a description, background, website link, tasks, reviews and notes. |
| Coming up | Unfinished workflow items with a future due date. These are the same records shown in Workflow, so edits apply everywhere. |
| Your focus | Your editable weekly timetable and dated session ticks. The original Thursday routine is shorter and weekends start blank. |
| Today’s calendar | Google reminders for today and the next seven days, plus appointments saved on this dashboard. |
| Search | Find words in task instructions, notes, daily logs and project descriptions as well as titles and project names. Filter by record type or exclude completed work. |
An action to do. Add instructions, an optional deadline, time, link and project. Move to top pins important work ahead of the normal date order.
Something to read, check or assess. It is part of Workflow and also appears in To review. Tick it when reviewed; any follow-up action can become a new task.
Information to keep, with a title and longer content. It can stand alone or belong to a project. Notes do not need a deadline or completion tick.
A repeating task needs a due date. Completing it keeps the original in history and creates its next occurrence after today. A project’s short description appears on the homepage; its longer background stays on the project page. Pausing a project removes it from Active projects while its tasks remain available. Archive project removes a finished project from current project lists and new-item dropdowns. Archive and restore controls are at the bottom of the individual project page, away from the homepage cards. In Projects, choose Archived to find it, open its page, then use Restore project to make it active again. Search and All including archived also show archived projects. Existing linked tasks, notes, reviews, log entries and routine sessions stay available and editable. Existing archived links remain selected when editing a record; new assignments require restoring the project first. Archiving keeps its visibility choices and does not complete unfinished tasks. Archived status is included in JSON backups.
The automatic summary lists tasks completed, items reviewed and routine sessions ticked for the selected day. Completed work is captured in permanent history in the database, including its title, project name and session times. Today updates as you tick and untick work, including changes from another device. Once its UK date has passed, that day’s history stays fixed even if tasks are renamed, reopened or deleted, or the routine changes. You do not need to leave a browser open. Choose a date or a day with recorded activity to look back. Task dates use UK time, while routine ticks belong to their selected timetable date.
The summary is always owner-only, including when you share a written entry. Reopening a task or unticking a session removes it from today’s live record, but does not remove completions from earlier days. A task completed again on another day is recorded on that new date too. Deleting a completed task keeps its history, with its original title and an unavailable-item note. Routine labels and times are stored when the session is ticked. Backdated tick corrections can change Focus but do not rewrite a closed day’s history; add your explanation in a dated log entry. Older saved completions are reconstructed when permanent history is first enabled, and are labelled as reconstructed because earlier edits cannot be recovered.
Add my comments for this day opens a normal log entry with that date. Automatic updates never overwrite your comments. New JSON backups include the permanent history. Restoring them preserves the recorded details. Restoring an older backup reconstructs history from its available completion records and timetable ticks, with a warning before replacement.
Choose Daily log from the menu or Add item. Use today’s date or select an earlier day. A title and project are optional. Write in any of What happened, What I achieved and Carry forward, then save. You can keep several entries for the same day.
The homepage shows your three latest entries. The full Daily log page has search, month and project filters, with older entries available through Show more. Open an entry to read it in full or edit it. Linked entries also appear on their project page.
Carry forward stays as text in the log. Add a Workflow task separately when it needs an action. Entries have no completion tick. Deleting an entry removes it from all views; backups retain its deleted record.
Daily log is private by default. To share an entry, enable the Daily log page in Page settings and tick the entry’s visitor checkbox. Its individual page and linked project must also be visible. Visitor preview lets you check the result. New JSON backups include all log entries; restoring a backup from before Daily log removes current entries after saving a recovery copy.
Project dropdowns put regular projects first in timetable order, followed by other projects alphabetically. You can change a project’s dropdown group in Edit project. Additional projects have no repeating timetable slots unless you add one.
In Edit routine, choose a project for each work session. A task with a due date, or a separate Focus date, appears beneath its linked session on that date. It is the same Workflow record: its completion tick, instructions and edits apply everywhere. The session tick stays separate. Tasks with no matching work session appear in Additional work. The date picker lets you view future or earlier weeks.
Additional work defaults to one hour after the routine. Set its duration or an optional additional start in Add item. Automatic slots follow one another without overlap; a fixed start that overlaps or cannot fit is shown without an allocated time and with a message. Thursday’s additional slots must fit 8–10 am. Weekends can have work you explicitly date for them.
Carry forward is off by default. Switch it on for a dated task to put unfinished work into the next free eligible weekday after its Focus date has passed. It skips weekends and days with no room, and keeps the original deadline. The next free start is calculated automatically, including after several days away. This uses UK dates and saved records, so you do not need to leave a browser open. Completing a carried task keeps it on its completion day; reopening it makes it eligible to carry forward again. Google Tasks, notes and review items are separate from this Focus task planner.
Open Your focus and choose Edit routine. Select a weekday, then add, rename or remove sessions and set their start, end and type. Work sessions have completion ticks; breaks and spare capacity do not.
Each day is saved separately within the week. Copy a day replaces only the day you have selected. Clear this day leaves it blank, and Use original routine restores the original timetable for that day. Save weekly routine publishes all your draft changes across devices; Load latest / discard changes reloads the saved version.
Changes repeat each week, including today. Sessions you keep retain their dated ticks even if you rename or retime them. Removed sessions disappear from the timetable, but their old ticks stay in backups. Sessions cannot overlap or run past midnight. Weekly totals update from the saved times.
The editor is owner-only. Visitors see the saved timetable only when Your focus is visible in Page settings. New backups include the edited routine. An older version 1 backup restores the original timetable alongside its saved ticks.
The Google calendar can be shown or hidden using the homepage button. Your choice is saved across devices and does not change visitor sharing. The calendar refreshes when opened and every 30 minutes while the dashboard is open. Returning to the window refreshes it if 30 minutes have passed. Refresh now is always available in the calendar controls. It uses UK dates and times.
Google appointments, birthdays and tasks stay in the reminders area. Household tasks from Google do not become Workflow tasks. Overdue and undated Google tasks remain accessible to you, with later tasks available in the expanded list.
Choose Personal Reminder in Add item for appointments, family commitments, personal tasks and household jobs. Appointments are red, Family amber, Personal tasks green and Household purple, with category names alongside the colours. They have no projects or individual pages. Repeat daily, on selected weekdays, weekly, fortnightly, monthly or yearly. Each date has its own tick, including future dates that become available when the day arrives. Monthly dates use the last day in shorter months and annual 29 February reminders use 28 February in other years. Missed repeating dates do not accumulate as overdue jobs; one-off unfinished reminders remain overdue. Completed reminders leave the active list and appear in the private automatic Daily Log summary. You can keep them in the completed list or remove them from that list. Editing changes the saved reminder and its future dates. Deleting removes the whole reminder and its future dates but keeps captured history. Personal Reminders stay visible when Google is hidden and are private unless their visitor checkbox is selected. Appointments previously added here are retained separately. Only you can use the connection controls.
The panel hides after a successful refresh when it has no reminders to show. Loading, missing sources and errors stay visible. In Page settings, use Open calendar controls to manage the Google connection even when the panel is empty. Google appointments use David Edbrooke-Stainer when available, with the primary calendar as a fallback, alongside Birthdays. If calendar sharing is on, visitors see Google reminder titles and dates. Account details, locations, task notes and connection controls stay private. Appointments entered directly on the dashboard remain private.
The site’s public/private sharing setting determines who can reach the site. Page settings then controls which pages and homepage sections visitors can see. Each task, review, note, daily log and project has its own visitor checkbox.
A linked task, note or daily log entry is visible only when its project and the relevant pages are also visible. Hiding a section from the homepage does not hide its full page. Only David’s account can edit records or settings.
Visitor preview lets you browse using those saved visitor choices while staying signed in. Editing is blocked during preview. Use Return to my dashboard to leave it; preview never changes the site’s sharing setting.
Completed work is kept in the backup and deleted records remain deleted. If another device changes the dashboard after your check, check the file again before restoring. Backups up to 10 MB and 10,000 records are supported.
It appears when there are unfinished review items. Completed reviews stay on the To review page. Visitor page, homepage and individual visibility choices can also hide the box.
Try fewer words, choose All and include completed work. Every word you enter must match somewhere in the record. Deleted records and Google reminders are not searched. Visitors can find only shared records.
Use Refresh saved work or Retry sync. If another device edited the same record, the latest version is loaded so you can check it before trying again. Only a successfully saved change is shared across devices.
It creates a Workflow task for the selected date. That task appears beneath its linked project session or in Additional work. The routine timetable has its own separate daily ticks. Use Edit routine on Your focus to change the weekly sessions.
